Role Purpose
As Facilities Support, you’ll be an important link between our clubs, engineers, contractors, suppliers and the central facilities team.
You’ll coordinate reactive maintenance requests from the point they are reported through to completion, ensuring work is allocated to the right people, prioritised appropriately and communicated clearly. You’ll also support the availability of parts, materials and information needed to help repairs happen efficiently.
This is a busy, practical and people-focused role. You’ll help reduce disruption for clubs, maintain accurate maintenance records and identify opportunities to improve how we respond to recurring issues across the estate.
Key Responsibilities
1. Facilities Coordination and Job Allocation
- Coordinate reported facilities and fitness-equipment maintenance jobs across the Total Fitness estate.
- Assess and prioritise maintenance requests based on safety, operational impact, urgency and member experience.
- · Allocate work to the appropriate engineer, contractor or supplier, ensuring they have clear information about the issue.
- Monitor open jobs, scheduled works and progress through to completion.
- Liaise with clubs, engineers, contractors and suppliers to help work move forward effectively.
- Escalate urgent, high-risk or unresolved issues promptly to the Central Facilities Support Manager.
- Support clubs with clear updates, helping colleagues understand what is happening and what to expect next.
2. Parts, Materials and Resource Coordination
- Help ensure engineers have the parts, materials, equipment and information needed to complete jobs successfully.
- Coordinate the ordering and delivery of parts and materials, keeping relevant people informed of progress.
- Track outstanding parts and follow up with suppliers to reduce delays wherever possible.
- Work closely with engineers and contractors to understand requirements and maintain effective communication.
- Support accurate records of parts orders, deliveries and related maintenance activity.
- Identify recurring delays or supply issues and share insight with the wider facilities team.
3. Job Tracking and Communication
- Maintain accurate, up-to-date records within the facilities or helpdesk management system.
- Ensure job statuses, notes, updates and completion details are recorded clearly and consistently.
- Provide regular progress updates to clubs, operational teams and the Central Facilities Support Manager.
- Help ensure communication is timely, clear and practical throughout the maintenance process.
- Follow up on incomplete or overdue jobs, working with the right people to agree next steps.
- Support the production of maintenance updates, reports and information when needed.
4. Operational Support and Continuous Improvement
- Support the Central Facilities Support Manager to identify recurring maintenance issues, trends and opportunities for improvement.
- Use feedback from clubs, engineers and contractors to help improve service levels and ways of working.
- Contribute to maintaining efficient, consistent and responsive facilities support processes.
- Help create a positive experience for clubs by being approachable, organised and solution focused.
- Follow company processes, health and safety requirements and operational procedures at all times.
- Build positive working relationships across the business, recognising that great facilities support relies on collaboration and shared ownership.
What You’ll Bring to the Role
- Humility – you listen to others, value their experience and are happy to ask questions or seek support when needed.
- Hustle – you take ownership, keep things moving and look for practical ways to resolve issues.
- People Smarts – you communicate clearly, build positive relationships and understand how to offer the right support at the right time.

We’re less focused on job titles and more interested in your ability to coordinate activity, communicate with different people and keep things moving in a busy environment.
